Checklist Before You Start
Have your business's physical address ready (or a P.O. Box/digital business address if you prefer not to use your home address).
Decide on the preferred language for the CRM and outbound communications.
Know the time zone your business operates in.
Step-by-Step Guide
Navigate to Business Profile Settings:
In the CRM, go to the left-hand navigation menu.
Scroll down to "Settings" and select "Business Profile".
Set Business Physical Address:
Important for sending invoices and email marketing, you must include a legitimate business address. This could be a physical address, P.O. Box, or a digital business address.
Ensure the address matches what is registered with your EIN for consistency and legal compliance.
This address will appear in the footer of every email sent through the CRM, so choose an address you're comfortable having public.
Choose Language Settings:
Select your preferred language for using the CRM and for outbound communications, such as emails from the system to you.
The default is English (US), but you can change this based on your preference or business requirements.
Adjust Time Zone:
If your business operates in a different time zone than your personal setting, update this to reflect your business's correct time zone.
This ensures scheduling and communications are accurate according to your business hours.
Update Information:
After making your selections, click "Update" at the bottom to save your changes.
QUESTION: When will my business address be visible to clients?
Answer: Your business address will be visible to clients when you send invoices, at the bottom of your marketing emails, and when you send google review requests (email marketing). Please refer to the CAN-SPAM Act to ensure you are following Federal Communications Commission rules and regulations.
Additional Notes
Using Personal Information: If you're in the early stages of your business and don't have a separate business email or address, it's okay to use personal information temporarily. However, consider updating this as soon as possible for professionalism and privacy.
Renting a Digital Address: For those who need a business address but don't have a physical location, renting a digital address is a cost-effective solution. Ensure any address you use is registered with your business for consistency across official documents and communications.
By configuring these settings in your Notary Success CRM, you're taking important steps to ensure your business communications are professional, compliant, and tailored to your business needs.
